Administrator Little Engineers Nursery

Report to: Nursery Manager
Executive Business Manager

We are a group of three one-form entry schools, and Nurseries within a medium sized and growing Academy Trust that has a strong commitment to learning and children.

We have two Nursery sites within Haringey; one located in Hale Village and the other in South Tottenham. The nursery accommodates children from the ages of 6 months to 3 years old.

We are looking for a Nursery Administrator to join Little Engineers Nursery and undertake a range of administrative and financial duties.

As the main point of contact for the nursery, you must have excellent interpersonal and communication skills to build effective relationships with the whole community. You will need to manage your workload effectively and work to deadlines, whilst retaining a sense of humour and priority to children.

Ideally you will have previous experience of working in a school or nursery office environment.

Objectives of the post

  • To ensure that all systems and equipment in the working environment function effectively
  • To undertake a range of complex administrative and financial duties in line with school requirements
  • To be the first point of contact for telephone enquiries and visitors to the nursery, providing an excellent customer care service

Duties and Responsibilities:

  • To ensure business administrative and financial processes are followed and completed according to nursery guidelines.
  • To maintain all office records (electronic and manual).
  • To ensure the staff have the necessary equipment and tools to carry out their functions and that the office and reception accommodation and equipment are well maintained.
  • To be the first point of contact for people contacting the nursery, dealing with telephone enquiries and visitors and responding appropriately.
  • To maintain nursery attendance records.
  • Maintain parent accounts – send invoices and monitor payment
  • Entry of invoices onto finance system and payment of BACS, monthly monitoring of accounts
  • HR for nursery staff to include maintainence of Single Central Record
  • To provide administrative support to Nursery Manager
  • To maintain security system for visitors.
  • To undertake any other duties or responsibilities as required by the line manager
  • The post will be working in a busy environment supporting the nursery staff
  • A level of initiative is expected in order for the postholder to manage their own workloads effectively.
  • The role requires a clear grasp of business support and administrative procedures in a school/nursery setting.
  • The role requires a customer-focussed approach, and awareness of the range and types of customer associated to the role. Customers constitute anyone who contacts the nursery. This will require sophisticated skills in dealing with people from a range of backgrounds with a range of needs and issues.
  • Team working is essential for delivery of the service and the post holder will be expected to fully contribute to this way of working. It requires a positive approach and willingness to assist, from time to time, in areas not directly connected with the main duties and responsibilities of the post.
  • Regular contacts include school colleagues, partner organisations, Local Academy

Committee members, the London Academy Trust and other schools/nurseries

  • Post holder will be expected to undertake training as required to ensure that they are able to participate in all aspects of the nursery processes
  • Post holder will be expected to abide by the nurseries health and safety policy.
  • Post holder has clear knowledge of the nursery Safeguarding Policy and carries out all duties in line with this

Person Specification

Qualifications:

Essential:
Minimum GCSE/O Level or equivalent in English & Maths.

Desirable:
NVQ in administration or equivalent qualification.

  • ICT skills – Microsoft Office Packages to a high level (tested).
  • Excellent Organisational skills able to manage a complex and varied workload.
  • Excellent interpersonal and communication skills (written and oral) including literacy, tact and diplomacy.
  • Good numerical skills and ability to understand statistical data.
  • Ability to work on own initiative and with minimal supervision
  • Ability to deal sensitively and discretely with confidential matters.
  • Ability to prioritise work and meet deadlines and timescales
